Our smart approach begins with intelligent document ingestion, where our system automatically categorizes and audits records against a regulatory checklist, instantly highlighting gaps and inconsistencies that would take human staff weeks to find. This eliminates the guesswork and ensures that critical documents—from fire safety certificates to tenant lease agreements—are all present and valid.

How We Turn Your

We have developed a unique methodology so that you can start managing your new building from day 1, rather than sitting waiting for documents to arrive or questions to be answered.

Agreement Stage

The first stage is it to garner an agreement between you and the outgoing agent as to which documents you require, and buy when they are going to supply them. This is wrapped up in a memorandum of understanding between the two parties.

Document Upload

Once this is completed, we will provide login details to the outgoing agent for our specialist virtual data room, so that they may upload all of the documents. We will compare what they have uploaded against the list of documents that has already been agreed.

Access & Review

We provide login details to you which once activated will give you access to the data they have uploaded. We will also tell you which documents are missing, while they’re missing and when you can expect to receive them.

Managed Queries

We have carefully selected the provider of our virtual data room so that it allows for you to ask questions of your counterpart. However, to avoid you contacting the outgoing agent directly it is set up so that you submit all questions to Syntonia and in turn we obtain the answers for you. In this way you never have to communicate with the outgoing agent and we contend that this will make the handover smoother and easier for all parties.

Completion Certificate

When all documents have been uploaded into the virtual data room and we have received confirmation that all keys, hard copy paperwork, funds have been transferred to your client bank account and that all other agreed handover items have been dealt with, we will issue a certificates of completion to both parties confirming the end of our involvement, that you are happy with everything you have received and to the outgoing agent that their participation in the handover is at an end.

Along the way, you may require additional services such as bank account reconciliations And we can provide these to you at a fixed cost or a price per hour basis. We can also arrange scanning of hard copies of documents so that everything is put into our virtual data room, we can arrange accounts to be prepared at the beginning of the management and generally support the outgoing agent to ensure but they provide you what has been agreed and what you need.
